Information We Gather

If you apply for a position at The Payroll Site Ltd, we may have a copy of your CV, application forms, references, other correspondence, interviewer's notes and tests taken as part of the recruitment process. These are used to assess your suitability for the post and for communicating with you. If your application is successful, we may retain your CV for the further purpose of managing and developing your skills, throughout your employment.

Lawful Basis

The version of the General Data Protection Regulation which applies in the UK is known as the UK GDPR. It requires us to explain the lawful basis for processing of data that can identify a living person.

In the language of the UK GDPR, we process your data for our Legitimate Interest of recruiting staff. If your application is successful, we will process your CV for the further Legitimate Interest of developing staff.

Retention Period

With the exception of your CV, data concerning your application will be retained until the recruitment decision is made and communicated and then a further 6 months. The information, including any email correspondence, will then be erased unless we have an important legal reason to retain it. This could happen, for example, if we needed to protect our position in the event of legal proceedings brought against us.

If your application is unsuccessful or you decide not to accept a position at The Payroll Site Ltd, your CV will also be erased within 6 months. If you are employed by The Payroll Site Ltd, we will retain your CV for the duration of your employment, plus a further year. The staff handbook contains detailed information about how we process information relating to our employees.

Storage of Data

The data we collect in relation to recruitment is kept securely within the United Kingdom. It is not passed to third parties or transferred outside the UK.

Your Rights

In relation to data about you, for which we are the data controller, the UK GDPR requires us to inform you of the rights listed below.

  • You have the right to ask us for access to and rectification or erasure of personal data or restriction of processing.
  • You have the right to object to processing information on the basis of Legitimate Interest.
  • You have the right to data portability for the data that you provided about yourself on the basis of Consent or Contract.
  • You have the right to withdraw your Consent at any time, without affecting the lawfulness of earlier processing.
  • You have the right to lodge a complaint with the Information Commissioner's Office.
